Terms of Service

These Terms govern use of Workfola, a business management platform operated by Belasoft Solutions ("Workfola", "we", "us"). By creating an account or using Workfola, you and the company you represent ("your company", "you") agree to these Terms. If you're using Workfola as an employee on behalf of your employer, your employer's agreement with us governs your use, and these Terms explain what that generally involves.

Each module group can be trialed free for 14 days, no card required, as described on our Pricing page. When a trial ends without converting to a paid subscription, access to that module group pauses — your data is retained, not deleted. Module groups can be added or removed at any time from Settings.

Your company's admin is responsible for who gets added as a user and what role/permissions they're given. You're responsible for keeping login credentials confidential and for all activity under your account.

You agree not to:

• Use Workfola to store or process data you don't have the right to process (e.g. another company's confidential data without authorization).
• Attempt to access another company's data, bypass tenant isolation, or probe the platform for vulnerabilities outside of a disclosed, authorized security review.
• Use the platform to send unlawful, abusive, or unsolicited bulk communications through its email/SMS marketing or notification features.
• Reverse-engineer, resell, or sublicense the platform without our written agreement.

Paid module groups are billed per the plan your company selects. Payments and payroll disbursements processed through the platform (e.g. M-Pesa via Safaricom's Daraja API, or Binance Pay where enabled) are subject to those providers' own terms in addition to ours. You're responsible for the accuracy of payment and payroll data you enter — Workfola executes what it's instructed to, it does not independently verify amounts, bank details, or statutory calculations beyond the configuration your company provides.

Your company owns the data it enters into Workfola. We process it to provide the service, as described in our Privacy Policy. If your company's subscription ends, we retain data for a reasonable period in case of reactivation or legal retention obligations, then it may be deleted; contact belasoftsolutions@gmail.com if you need an export before that happens.

We aim to keep Workfola available and run regular automated backups, but we don't guarantee uninterrupted availability. We may perform maintenance, and we'll make reasonable efforts to avoid disrupting your work when we do. Features described as in development (e.g. self-serve card payment) are not yet guaranteed and may change before release.

Your company may stop using Workfola at any time. We may suspend or terminate an account for violating these Terms, for non-payment on a paid plan, or for activity that threatens the security or integrity of the platform or other companies' data.

Workfola is provided "as is." To the fullest extent permitted by law, Belasoft Solutions is not liable for indirect, incidental, or consequential damages arising from use of the platform, including errors in payroll, accounting, or other business calculations resulting from data or configuration your company provided.

These Terms are governed by the laws of Kenya, without regard to conflict-of-law principles.

We'll update this page when these Terms change, and update the "last updated" date above. For material changes, we'll make a reasonable effort to notify account admins directly.
